Results Engineering’s K-12 Education Solutions help school districts and Education Service Centers overcome economic, compliance and efficiency challenges by reducing costs and increasing the resources available for student services. Our solution is built on top of OnBase, a leading Enterprise Content Management Tool.  With OnBase, you can digitally manage content (e.g., paper-based documents, digital documents, e-mails, faxes, reports, application files, electronic forms, Web content and multimedia files) and processes in a single, easy-to-use application that complements existing systems such as student information systems (SIS), human resources (HR) and finance. 

Used in a variety of ways, OnBase delivers an array of benefits to K-12 Districts including:

 

Free and Reduced Meals Program – As part of ensuring that children are ready to learn, most U.S. K-12 schools offer a free breakfast and lunch meals program to the eligible student population. In order to efficiently serve the students and help their families, Results Engineering, has instituted a integrated system using OCR for Forms from AnyDoc and OnBase document management and workflow software to help K-12’s rapidly and accurately intake student/family applications for free meals. The system generates and prints individual applications for each student, pre-filled with known details.  The family completes the application and returns it to the district.  The system scans, performs Optical Character recognition of handwriting and printed materials, verifies the data against business rules and databases, and loads verified data into the meals system WinSnap, which manages qualifications, enrollment and food service management.  OnBase workflow is used to handle exceptions, problems, and missing documentation.  At the completion of its first year of use, the Cleveland Metropolitan School District’s state audit rated the accuracy of the system as the highest among the thousands of school districts in Ohio.

Food Services – A special procurement and payment workflow streamlines costs and administrative staffing.

School Uniforms –This system generates and prints individual applications for each student, pre-filled with known details. The family and student completes a uniform application that is very similar to the meals application, which is then rapidly scanned into the system and intelligently and efficiently processed via OnBase workflow.

P2P: Purchasing/Accounts Payable – Results Engineering’s K-12 Solution provides a web based high-performance e-procurement and accounts payable system, which can be integrated to most district’s accounting systems. The solution consists of a web based system that consists of purchase requisitions, tests for budgets and approvals, routes to approval, automated board resolutions to support purchases, AnyDoc for Invoices reading the invoices, and comparisons to purchase order data in the District’s accounting system.  If the invoice matches the purchase order and the receiving report, it is paid.  If it does not match, it is routed for review, exception handling and approvals.  The system reduces time and labor, improves auditing and compliance, provides better vendor management and increases terms discounts.

Facilities – Around the nation, school building are being renovated using federal and state funds.  Using OnBase document management and a custom workflow, this program can manage and automate all of the contracts, quality assurance, and payments which are a necessary part of this process. This system results in substantial cost savings to districts due to greater contractor discounts and a smaller headcount during the construction process.  The system also provides a long-term archive of all engineering drawings, contracts, warranties and other documentation for the on-going maintenance of the facilities.

MFD Scanning – K-12 districts can utilize a system of existing Multi-Function Devices in each school and administrative building to gather new documents into the central OnBase system.

Human Resources – All Human Resource files can be scanned and secured into OnBase, becoming available for electronic retrieval and retention management, while meeting HIPAA security requirements of individual health records.  Document Knowledge Transfer is also available to manage the distribution of required reading to employees, to ensure and certify that they are read in a timely fashion.

Special Education – OnBase can be used as an archive for IEP’s and many other related Special Ed documents to alleviate the cost of paper storage and routing files around the district as students change buildings and teachers.

Email Archive – Federal and State Laws now require all email to be secured, archived and available for rapid discovery in the event of a public records request.  OnBase provides these facilities, while simultaneously creating a complete full text index on all emails for rapid searching.

Cleveland Metropolitan School District Selected as AIIM Best Practices Award Finalist for use of OCR for AnyDoc®

 

Cleveland, Ohio — February 28, 2009 — Results Engineering, Inc., an industry-leading developer of automated document, data capture, and classification solutions, announced today their client Cleveland Metropolitan School District (CMSD) has been named a finalist for the 2009 AIIM Carl E. Nelson Best Practices Award.

The Carl E. Nelson Best Practices Award presented by AIIM, the Association for Enterprise Content Management, recognizes excellence in the Enterprise Content Management (ECM) field.  The term "Best Practices" denotes a standard of excellence that has been achieved within an organization and refers to a process or implementation that can be quantified, adapted, and repeated.

“It’s an honor to be recognized by AIIM for the commitment we have made to ‘Transformation through Innovation’ at ClevelandMetropolitanSchool District,” said Joe Podach, deputy chief of operations and performance improvement at ClevelandMetropolitanSchool District.  “Being able to save money while improving our processes has resulted in a great impact at CMSD, and we are continuing to improve our finances, academics, and paper processes,” he continued.

CMSD needed an automated system to process the 18,600 free and reduced meal program applications and 18,000 school uniform program applications.  Working with Results Engineering, LLC, a Westerville, Ohio-based workflow systems integrator, CMSD implemented SchoolBase to automatically capture and process incoming applications.  SchoolBase utilizes advanced recognition engines to capture all the desired data from the scanned digital images.  The software then verifies the data against CMSD’s business rules and databases to ensure accuracy.

 

Using SchoolBase , CMSD’s uniform and meal programs resulted in a highly accurate and efficient, speedy solution that reduced the need to hire approximately 50 temporary employees, eliminating $280,000 in labor costs.  They reduced labor needs by 65 percent, eliminating thousands of hours of manual data entry.  Not only did they achieve an ROI within nine months, but with the addition of SchoolBase as part of an enterprise Procure-to-Pay system, Results Engineering will help produce a total cost savings of over seven figures, paying for itself ten times over in its first five years.
